Kilitop Adventure – Terms and Conditions

These Terms and Conditions govern the relationship between Kilitop Adventure (“Company”) and the client (“Client”) for all safari, trekking, and travel services booked with the Company. By making a booking, the Client agrees to abide by these terms.

Booking

All bookings and the subsequent contract are legally binding in Arusha, Tanzania, under the laws of the United Republic of Tanzania. Bookings are only confirmed once Kilitop Adventure acknowledges receipt of the required deposit or full payment as outlined below.

Underage Travelers

Bookings for travelers under the age of 18 are accepted only if accompanied by an adult who will take full responsibility for the minor throughout the trip. This adult must ensure the minor’s safety and compliance with all tour rules.

Payments & Deposits

Upon acceptance of a travel offer, a 30% deposit is required to confirm the booking. The balance must be settled according to the terms agreed.

  • Short-notice bookings: For bookings made less than 2 weeks before departure, full payment is required immediately to secure the reservation.

  • If the full payment is not received at least one week prior to departure, Kilitop Adventure reserves the right to treat the booking as canceled, with the deposit forfeited.

  • All bank charges and transaction fees are the responsibility of the client. The payment received by Kilitop Adventure must reflect the full invoiced amount.

Modifications of Bookings

Clients wishing to modify bookings—including changes to itinerary, accommodation, flights, or number of participants—must contact Kilitop Adventure in advance.

  • A booking transfer fee of USD 50 may apply.

  • Last-minute modifications during the tour cannot be refunded.

  • In the case of flight delays or cancellations, the Kilitop Adventure team will adjust the itinerary where possible; however, refunds remain subject to the cancellation policy.

Cancellation Policy

Cancellations must be submitted in writing via email to Kilitop Adventure. Cancellation fees are calculated on paid deposits:

  • More than 6 weeks prior: No fee

  • 4–6 weeks prior: 30%

  • 2–4 weeks prior: 50%

  • 1–2 weeks prior: 75%

  • Less than 1 week prior: 100%

Flights are subject to airline rules and may not be fully refundable. Kilitop Adventure reserves the right to cancel tours at its discretion. In such cases, all payments received will be refunded, and no further claims for damages can be made.

Travel Documents

Clients are responsible for ensuring passports, visas, health certificates, proof of vaccinations, travel insurance, and other documentation are valid and in order. Kilitop Adventure is not liable for any consequences arising from missing or incomplete documentation.

Baggage

Clients are responsible for their personal belongings at all times.

  • For hiking tours: Maximum 15 kg duffel bag (soft bag/backpack) and a daypack are allowed.

  • Safari clients are encouraged to use soft duffel bags for easier storage. Hard-sided luggage must be approved by guides.

  • Excess baggage must be declared in advance; last-minute changes may incur additional airport charges payable by the client.

Risk & Responsibility

All Kilitop Adventure tours are of an adventurous nature and involve personal risk.

  • The client accepts full responsibility for any injury, loss, or damage to property.

  • Kilitop Adventure, its agents, and staff cannot be held liable for any accidents or mishaps.

  • Clients must follow all instructions from guides and tour leaders to minimize risk.

Authority on Tour

  • The decisions of the guide/driver are final and binding for the safety and smooth operation of the tour.

  • Clients must comply with all local laws, customs, and foreign exchange regulations.

  • Misbehavior, threats, or disrespect towards guides, staff, or other clients may result in immediate termination of the tour at the client’s expense.

  • Clients must adhere to the schedule outlined in the itinerary. Delays caused by clients may result in being left behind or additional costs.

Communication Policy

  • Official communication must be conducted via email. While WhatsApp may be used for urgent matters, it is not legally binding. All booking confirmations and modifications must be documented in writing. The confirmed itinerary represents the binding agreement between Kilitop Adventure and the client.

Marketing

  • Kilitop Adventure may use photographs and videos taken during tours for marketing purposes. By booking, the client grants Kilitop Adventure permission to use such media, retaining copyright ownership.

Force Majeure

Kilitop Adventure is not responsible for delays, cancellations, or itinerary changes caused by unforeseen circumstances beyond its control, including:

  • Natural disasters, extreme weather, or epidemics

  • War, civil unrest, or strikes

  • Mechanical breakdowns of vehicles or aircraft

  • Government regulations or closures

Price Policies

Kilitop Adventure offers total package prices rather than detailed line-item breakdowns because:

  • Every trip is customized to suit travel dates, group size, and activities.

  • Partner rates (lodges, guides, transportation) are confidential.

  • Prices fluctuate depending on season, park fees, and availability.

  • Providing a total price ensures a stress-free planning experience for clients.

Value comes from the seamless combination of professional planning, local expertise, 24/7 support, and unforgettable experiences.

Price Changes

All prices are based on current national park fees and taxes. Kilitop Adventure reserves the right to pass on increases in fees or taxes if mandated by authorities.

Start / End of Tour

Tours begin with airport pick-up and end with return airport drop-off. Any delays in flights or missed connections are the responsibility of the airline, not Kilitop Adventure.
